Instructions for Membership and Editing Site Content

Approving, Editing and Adding New Members

Step 1:

Once a new member has completed their registration form and created their account, they will go into the ‘Approvals’ section in the backend of the site, under ‘Memberships’ (see pink arrow).

Maica will also receive a notification email that there is a member waiting for approval in the membership system.

Until they are approved they will not have access to the site content, and may only login to edit their registration form details (but not their username and password).

Members can sit in ‘pending’ until they are ready to be approved (see orange arrow).

Once you have confirmed their payment and wish to approve the member, you are able to review their application by selecting ‘View’ (see green arrow).

Step 2a:

If you wish to deny their application:

Once you have reviewed their application you can either deny or approve it, from ‘View’ page or from the ‘Approvals’ page (see pink arrow in first image).

To deny the user’s application, simply click ‘Deny’. This will send the user an email saying their application has been denied and they will not have access to the site.

If they have made a payment and you still wish to deny their application, you will need to ensure you provide a refund.

Step 2b:

If you wish to approve their application:

Once you have reviewed their application you can either deny or approve it, from ‘View’ page or from the ‘Approvals’ page (see pink arrow in first image).

You can ‘Edit’ the member from the ‘Approvals’ page (see orange arrow in first image) to change their password. Scroll down on their profile to the ‘Account Management’ section and select ‘Set New Password’ (see pink arrow in second image). Then enter the new password in the pop-up (see orange arrow in second image), and scroll to the bottom of the page to select ‘Update User’.

Then to reset their username, go to ‘Users’ then ‘Username Updater’ in the LH column (see pink arrow in third image) . You can search for the person you are looking for (see green arrow in third image) , then select ‘Update’ in the last column of the table (see orange arrow in third image).

This will open another window where you can set and update their username (see pink arrow in fourth image). Please make sure not to tick the ‘Send the user an email about their updated username’.

Once you have updated these details, you can approve the member (see pink arrow in first image). This will send them an automated email saying their account has been approved.

Please make sure to then email the member with their new login details so they can login to their account.

Step 3:

You can also add a new member manually.

To do this, go to ‘Memberships’ then ‘Members’ in the LH column. Then at the top of this page, you can select ‘Add New Member’ (see pink arrow in first image).

This will open a pop-up window where you can create an account for a member with their username, email and password (see pink section in second image). Please make sure not to tick the ‘Send the user an email about their account’ button.

You can then click ‘Create User’ (see orange arrow in second image).

Once you have created them as a user, you can then assign a membership level to them from the menu under ‘Add Member’ to fill out their remaining registration details.

We would generally recommend allowing users to create their own account online, but this is an option if they are struggling to do so themselves.

Please note: adding them manually automatically approves the member.

Managing Renewing Member Payments

Once a member has been approved, the membership system allows them to renew without being re-approved. This means when they renew, they will still have access to their account, and you won’t get the approval notification to check for their payment/review their account.

Maica will however receive an email saying that a member has completed a checkout. If this has been made by someone with their own username (e.g. LucyThomas) then you know it is a new account, and they will need to be approved as normal. Whereas if it is someone with a username you have set (e.g. SA1234) then this is an existing member making a renewal.

To ensure you can track a member’s renewal payment, you can remove their approval status until you have confirmed their payment has been made. This will also remove their access to the site until you re-approve them.

Step 1:

To do this, go to ‘Memberships’ then ‘Approvals’ in the LH column (see pink arrow). Then select the ‘Approved’ category (see orange arrow) and search for the member you are looking for (see green arrow).

Then in the ‘Approval Status’ column of the table, you can remove their approval status by clicking the ‘X’ (see blue arrow). This will place them back into ‘Pending’.

This will remove their access from the site until you have confirmed their payment. Once you know they have paid, you can change their status back to approved. Please see the ‘New Members’ tab for how to approve a member.

How to make a ‘Member Only’ access page

Step 1:

First, you will need to find the page or post you wish to edit. You can find the page on the live site, or in the backend.

From the live site:

  • Navigate to the page using the menu, then select ‘Edit’ in the top black bar (see pink arrow in first image).

From the backend:

  • Navigate to ‘Posts’ to find the right page (see pink arrow in second image). You may need to search for it (see green arrow in second image) or filter by categories (see orange arrow in second image) to find the right page.
  • Edit the page by clicking on the title or by hovering on the title and clicking ‘Edit’ (see blue arrow in second image).

Step 2:

In the RH column, under ‘Require Membership’ tick the levels that are allowed access to this page (see pink arrow)

Please note, you can select ‘All’ to tick all of the levels (see orange arrow).

Step 3:

You will then need to edit/add the excerpt for non-members to see a snippet of content on the page.

If you can’t see this section, scroll to the top of the page, and select the ‘Screen Options’ dropdown in the top RH corner (see pink arrow in first image). Then tick the box next to ‘Excerpt’ (see orange arrow in first image).

This will now show the section underneath the rest of the content (see pink arrow in second image). This is where you can paste or type the short section of text you want non-members to see before the prompt to become a member shows up.

Step 4:

Once you are finished, click the blue ‘Update’ button (see pink arrow).

If you don’t save your edits or update the page once you are done, your edits will not be saved. We generally save as we go after each edit.

Recommended image sizes, suitable for web:

General Images:

  • 1500px x 600px = full page width (only really applicable for home page)
  • 900px x 600px = 3/4 page width (recommended for most images)
  • 600px x 400px = 1/2 page width

Images should be jpeg files at a resolution of 72 dpi.

This can be done using Photoshop or a similar photo editing program.

Images should be no bigger than around 300kb. Anything larger will fill up space on the server and make the site run slowly.

Images should be appropriately named before they are uploaded. Ideally, their name is related to the page or post they will be seen on.

PDFs should be as small as possible and also appropriately named.

How to change images:

Please make sure the image/s you are uploading are the correct size and resolution.

Images should be named appropriately before they are uploaded.

Step 1:

Firstly, you will need to upload your new image to the media library. You can do this by clicking and dragging the jpeg into this window, or by selecting ‘Add new media file’ (see orange arrow in first image).

You can do this for one image or multiple at a time.

Please note: your images should be appropriately named before they are uploaded. Ideally, their name is related to the page or post they will be seen on.

Step 2:

Then you will need to find the image you wish to change on a page or post. You can find the page on the live site, or in the backend.

From the live site:

  • Navigate to the page using the menu, then select ‘Edit’ in the top black bar (see pink arrow in first image).

From the backend:

  • Navigate to ‘Posts’ to find the right page (see pink arrow in second image). You may need to search for it (see green arrow in second image) or filter by categories (see orange arrow in second image) to find the right page.
  • Edit the page by clicking on the title or by hovering on the title and clicking ‘Edit’ (see blue arrow in second image).

Step 3:

You will then need to navigate to the image you want to change. We often have the live page open in another tab to reference which section we want to edit.

  • Hover over the image element, and click the pencil icon in the green tab (see pink arrow in first image)
  • This will open a pop-up. Click the image to open the media library (see pink arrow in second image) and select one of your previously uploaded images (see pink arrow in third image).
    • You can also upload any additional images in this window if you haven’t uploaded the right image yet by dragging a file into this window or by clicking the ‘Upload Files’ tab (see orange arrow in third image).
  • Then click the blue ‘Select’ button. Then ‘Save Changes’ in the Image pop-up (see pink arrow in fourth image).

Step 4:

You can repeat this process for any number of pictures on one page. Once you are happy with the changes, make sure to click the blue ‘Update’ button (see pink arrow).

If you don’t save your edits or update the page once you are done, your edits will not be saved. We generally save as we go, after each image.

How to edit text:

Step 1:

First, you will need to find the page or post you wish to edit. You can find the page on the live site, or in the backend.

From the live site:

  • Navigate to the page using the menu, then select ‘Edit’ in the top black bar (see pink arrow in first image).

From the backend:

  • Navigate to ‘Posts’ to find the right page (see pink arrow in second image). You may need to search for it (see green arrow in second image) or filter by categories (see orange arrow in second image) to find the right page.
  • Edit the page by clicking on the title or by hovering on the title and clicking ‘Edit’ (see blue arrow in second image).

Step 2:

Find the text you wish to edit on the page.

You can then edit the text block by hovering over it and selecting the pencil tool in the green bar (see pink arrow).

This will open a pop-up window to edit the text.

Step 3:

In this pop-up you can edit and adjust the text as needed (see pink arrow).

Please keep any text you edit in the same style as the existing text. The text can change by itself if you are copying and pasting from another document.

To ensure it is the same, please select your text and check the dropdown (see orange arrow) before you paste any changes. Once you have pasted the text, check it is the same before saving.

NOTE: There may be two types of text styles in one text block (e.g. H1 and Paragraph)

Once you are done, make sure to press the blue ‘Save Changes’ button (see green arrow).

Step 4:

You can then repeat steps 2 and 3 for any other text blocks you wish to edit on the page.

Once you are finished, click the blue ‘Update’ button (see pink arrow).

If you don’t save your edits or update the page once you are done, your edits will not be saved. We generally save as we go after each edit.

How to add a PDF to a page or post:

Please make sure the PDF is as small as possible before uploading it to the site.

PDFs should also be named appropriately before they are uploaded.

Step 1:

Uploading a new PDF:

Firstly, you will need to upload your new PDF to the media library. You can do this by clicking and dragging the file into this window, or by selecting ‘Add new media file’ (see orange arrow in first image).

Please note: your PDFs should be appropriately named before they are uploaded.

Once your new PDF has been uploaded, you can click on it to open a pop-up. From here you can copy the file link (see pink arrow in second image).

Using an Existing PDF:

If you have already uploaded the PDF, then just click on the PDF you wish to use (see pink arrow in first image). From here you can copy the file link (see pink arrow in second image).

Step 1:

Then you will need to find the page or post you wish to edit. You can find the page on the live site, or in the backend.

From the live site:

  • Navigate to the page using the menu, then select ‘Edit’ in the top black bar (see pink arrow in first image).

From the backend:

  • Navigate to ‘Posts’ to find the right page (see pink arrow in second image). You may need to filter the categories (see orange arrow in second image) or search for it.
  • Edit the page by clicking on the title or by hovering on the title and clicking ‘Edit’ (see green arrow in second image).

Step 3:

Find the button or text where you wish to add/edit the PDF and hover over the element so a green bar shows up, then click the pencil icon to edit it. (see pink arrow).

This will open a pop-up window.

Step 4:

For a button:

In this pop-up under ‘Link’ replace the current PDF link with the new one you have just copied (see pink arrow in first image).

For a text link:

For an existing link, in the pop-up, find the linked section of text which will be blue and underlined. Then hover over it and select the pencil icon to edit the link (see pink arrow in second image).

You can then select the settings icon to open another pop up window (see pink arrow in third image). Here you can paste your link. Please make sure to tick the ‘open in a new window’ checkbox (see orange arrow in fourth image).

For a new link, in the pop-up, highlight the section of text you wish to link, then click the link icon in the editor (see pink arrow in fifth image).

You can then select the settings icon to open another pop up window (see orange arrow in fifth image). Here you can paste your link and edit the link text. Please make sure to tick the ‘open in a new window’ checkbox (see orange arrow in sixth image).

Step 5:

You then need to click the blue ‘Save Changes’ on the pop-up (see pink arrow in first image) and the blue ‘Update’ button to update the page.

If you don’t save your edits or update the page once you are done, your edits will not be saved.
